Overview

The below instructions are intended to guide departing students, graduates, and departing faculty through the process of saving and migrating user data. You may choose to not do this, but all data will be lost once you leave. You are responsible to return the following equipment to IT before leaving on your final day:

  1. Dwight issued Apple Macbook Air

  2. Issued laptop charger

  3. Those faculty issued an iPad must also return their iPad, charger, and Apple Pencil if issued


Prepare Your Device & Data

✅ Backup up your files

To keep your files, we recommend the following methods to save the data stored on your device:

  • Copy files to a personal online storage account like Google Drive, Dropbox, or OneDrive.

  • Copy files to a personally owned external USB storage device


✅ Update personal accounts

Please update contact/username info for any 3rd party services using you may have signed up for using your Dwight email address. For example, if you created a personal Facebook account using @dwight.edu email, you’ll no longer be able to reset that password or confirm 2FA authentication unless you update the email address associated with the account.


✅ Sign out of iCloud

This is an optional step since all data and Find My activation locks will be cleared by Dwight IT, but it’s a good idea to manually sign out of your iCloud account if you’re signed in.


Mac OS / iOS: System Settings > click your Name at the top > Sign Out

Older MacOS operating systems:  System Preferences > AppleID > Overview > Sign Out


Migrate Email & Google Workspace Data

You have 2 options available to take your Google Workspace data with you:

Google Transfer

  1. Open Gmail and click your Profile icon to take you to “Account Home

  2. FInd “Transfer your Content” and click Start Transfer

  3. Follow on-screen instructions to select and transfer your content to a personal Google account





Google Takeout

  

Takeout can be completed from any web browser, you do not need to do this from a Dwight laptop.


  1. Go to Google Takeout.

  2. Select Data to Export:

    • By default, all data is selected. Deselect any data you don't want to export.

    • Click "Next step" at the bottom.

  3. Choose Export Settings:

    • Select the delivery method (e.g., download link via email).

    • Choose One-time export frequency 

    • Select the file type and size. (defaults are fine)

  4. Create Export:

    • Click "Create export".

    • Google will prepare your data. This may take some time depending on how much data is stored.

  5. Download Your Data:

    • Once the export is ready, you'll receive a notification.

    • Click the download link provided to save your data, this should be done on a personal computer, not your Dwight laptop.
